Your privacy is important to us, Equi Solutions is committed to protecting and respecting your privacy when you use our websites or mobile applications (together, the “Applications”).
This privacy policy describes what personal data we collect and how we use your personal data in connection with your use of the Applications. We describe who we share your information with and how long we retain it. This privacy policy also describes your rights in relation to the processing of your personal data.
Terms not otherwise defined in this privacy policy shall have the same meaning ascribed to them as in the Terms and Conditions, which may be found on our website equi-solutions.nl. Please read this privacy policy and the Terms and Conditions carefully before using the Applications.
This privacy policy applies to all personal data collected through our apps or websites, as well as any related services, sales, marketing or events. By using the Applications, you accept this privacy policy and our processing of your personal data.
If you want to know more about personal data, please visit the website of the Dutch Data Protection Authority.
We collect personal data that you voluntarily provide to us by creating an account, filling in data on any of our Applications, expressing an interest in obtaining information about us or our products, or when you contact us.
We collect personal data: names, email addresses, phone numbers, passwords, addresses and images (including their metadata).
This is all personal data that you provided and can be traced back to you as an individual. Not all data that we collect is personal data, we also collect some (automatically generated) non-identifying information.
When you visit our Applications, our servers may automatically log the standard data provided by your web browser. This data is considered “non-identifying information”, as it does not personally identify you on its own. It may include your browser type and version, the pages you visit, the time and date of your visit, the time spent on each page, and other details.
We may also collect data about the device you are using to access our Applications. This data may include your IP address, the device type, operating system, language preferences, country, device settings, and geo-location data. What we collect can depend on the individual settings of your device and software. We recommend checking the policies of your device manufacturer or software provider to learn what information they make available to us.
We only use your personal data for purposes which we are legally allowed to use it for. These purposes are explained in more detail below, but broadly fall into two categories:
We will process your personal data to manage your user account and to provide you with the Applications. For example, your personal data is used to confirm your identity when you sign in, and technical data to ensure that the Applications are presented in the best way for you. Location data is processed to provide you with additional features in the Applications, based on your consent.
We may use your information in order to enable user-to-user data-sharing with each user's consent. For example; professionals can invite their clients (i.e. horse owners) to share data about themself and their horse to ensure professionals are up to date on their clients information, and for the clients to receive the treatment data of their horses.
The (automatically generated) non-identifying information helps us understand how our Applications are used and how we can improve the experience for our users.
This information is also needed to maintain security and operation of our Applications, and for our internal analytics and reporting purposes.
Your contact information may be used to send you reminders, confirmations, system messages and other relevant information about the Applications. This processing is either necessary as part of the Applications core functionality (e.g. send important administrative messages required) or otherwise necessary for our legitimate interests, such as our interest in enhancing and maximizing your use of the Applications and to communicate effectively with you.
Your personal data may be used to investigate, respond to and resolve complaints and problems with our Applications (e.g. bugs).
We may use your information to request feedback and to contact you about your use of our applications. By continuously collecting qualitative feedback from you and other users, we can gain a deeper understanding of our users’ problems and needs. This processing is necessary to pursue legitimate interests, such as our interest in developing and improving the application. Participation in customer surveys is always optional.
We use technical data, survey data and other aggregated and non-personal information to develop and improve the application, including troubleshooting, data analysis, research, statistical purposes and testing (such as beta testing and evaluation of new features, in line with the fundamental nature of the Applications). For example, we may collect and evaluate technical data about your use of the Applications for analytical purposes e.g. to understand how people use the Applications in order to make it more intuitive. This processing of personal data is partly necessary to provide the Applications to you but mainly to pursue legitimate interests, such as our interest in developing and improving our Applications and its features.
We post testimonials on our websites that may contain personal information. Prior to posting a testimonial, we will obtain your consent to use your name and testimonial. If you wish to update, or delete your testimonial, please contact us at .
Your contact information may be used to send you newsletters, updates or other information regarding Equi Solutions and the Applications to you. This processing is based on our shared legitimate interest to inform our existing customers about our Applications and Equi Solutions. This communication is optional and can be opted in or out of through the account settings within the relevant application. Or through the unsubscribe link contained in the email received from us.
Your personal data is processed, including transferred and retained, to the extent necessary for us to uphold our legal obligations, e.g. bookkeeping and reporting to the authorities.
Your personal information will be used where we believe it is necessary to protect ours, yours or others legal rights, or other legitimate interests. Processing your personal data for this purpose can become necessary to enforce or defend legal claims or rights.
In connection with, due to strategic or business-oriented reasons, a potential merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company, the personal data we retain about you may be processed, shared or transferred, to parties involved in the process. This processing is based on our legitimate interest in developing and growing our business.
We provide no personal data to third parties. Your personal data could, when appropriate, be shared with an employee or consultant of Equi solutions, only if it is necessary to perform their jobs, for example to provide you with customer support. Our employees and consultants are of course subject to strict confidentiality.
Some of your personal data (e.g. name and profile picture) will be public in our Applications and thereby shared to other users of our Applications. This is only the information necessary for users to find other users. Other personal data (e.g. email address, phone number, address) and information about the horse treatments, images, videos, and calendar events may be shared with other users of our Applications, but only if you invite an user, or accept an invitation from an user, to connect with them in our Applications.
Once approved, the data will only be shared between the professional user and the linked horse owner user. This only happens after permission from both parties and information is only shared between these two parties.
Sometimes legal obligations may require us to share information about you, for example to respond to lawful requests from law enforcement agencies, regulatory agencies, and other public and government authorities. We may also disclose information if needed to detect and prevent fraud or in connection with a legal process, for example to enforce our General terms and conditions or to protect our rights, or the rights of you or others.
We keep your personal data for as long as we are required to do so by law and for as long as necessary for the purpose for which we use your data. The exact duration depends on the type of information and why we process it:
As long as you have an account, we store your data according to the statutory retention period of seven years. After that we only keep your data for statistical purposes and to handle any complaints or legal matters.
If you delete your account or, regarding the personal data we process based on your consent, when you withdraw your consent, the personal data processed on the basis of your consent will be deleted when your consent is withdrawn or upon expiry of the purpose for which your consent was given.
Sometimes we will keep your information longer. Even if you delete your account or withdraw your consent, we keep your data if and to the extent we believe it is necessary to protect our legal rights, legitimate interests and the interests of others. For example, we will retain your contact information for marketing purposes up to one year after you have deleted your account.
Your data may also be stored for a longer period if required by applicable statutory retention periods, such as applicable periods for customer claims from consumers and accounting rules.
Furthermore, we save a back-up of all information stored which is deleted once every month. We furthermore keep statistics regarding user behavior without reference to an account (anonymized) after the account has been deleted. Non-identifiable information kept is stored and processed without reference to account-information.
We have done a lot to protect your data as well as possible, both organizationally and technically. We have secured our systems to ensure that it does not end up in the hands of others.
The personal data is stored on servers within the European Economic Area (EEA), namely in the Netherlands. By using Dutch data centers that fall under European legislation and regulations, we meet the strict requirements for the security of personal data on the servers.
